At the start of the COVID-19 pandemic, Circle of Care moved to a new way of distributing supplies to staff. In an effort to conserve our supplies on hand and ensure fair distribution to ALL of our client facing staff, we implemented a process by which the quantity of supplies was predetermined for each order. Although we are not officially at the end of the pandemic, we strive to keep our clients and staff protected from any infectious disease. As such, there is now a new system in place for Supply Ordering.
Here are the key points to know about supply ordering:
- Logout and log back into your app to see all the new updates.
- Descriptions of items have changed. For example, Earloop Masks are now identified as Surgical Mask.
- Quantity menu selection for all individual items have been updated.
- A minimum and maximum Quantity has been pre-determined.
- Some item Descriptions contain the number of pieces provided in one order. For example, Isolation Gowns – IPAC (x10) means you will get 10 gowns if the order QTY of 1 is selected or 20 gowns if the order QTY is 2.
- For Surgical Masks & Medical Gloves the minimum and maximum Quantity is 1 which means, the Admin Team will calculate the appropriate Quantity of these items for you based on the average number of clients and hours for a 3-week period.
- The supplies provided to you is estimated to last for 3 weeks.
- You can reorder an item 14 days after it was last ordered.
- If you require additional quantities, please leave a note in the Comment box in the app.
- It is your responsibility to determine the items you need in your supply pick up, the quantities that would be appropriate and you pick up your Supply Package when the mobile app displays “Ready For Pick Up.”
- All Supply Orders that are Ready For Pick Up must be collected within 7 days.
- After 7 days, any Supply Orders that were not collected will be cancelled and a new order will be required.
If you have any questions about Supply Ordering you may reach out to your Client Services Supervisor (CSS), Admin Team based at 4211 Yonge Street, or reference the resources posted on the PSW Portal.
We commend your ongoing commitment in protecting your clients and yourselves and curbing the spread of infectious diseases in our community!
As always, thank you and stay safe!
